Business contact details: name, position, company name, business email address, telephone number where you provide it, country and business address.

Company and transaction information: registration number, country of registration, product requirement, quantity, specification, destination, Incoterm, timing and any message you send.

Proportionate verification information: beneficial owner names and percentage ownership, intended end use and, where a transaction proceeds, further information required by law, banks, insurers or carriers.

Correspondence: emails and other communications exchanged with us.

Technical information: our hosting provider records standard server and security logs, such as IP address, request data and timestamps.

Responding to inquiries, preparing quotations and negotiating a transaction — lawful basis: steps taken at your request prior to entering a contract, and our legitimate interests in operating a business-to-business trade company.

Performing and administering a concluded contract — lawful basis: performance of a contract, and legitimate interests where the contracting party is a company and you are its representative.

Counterparty verification, sanctions screening and fraud prevention — lawful basis: compliance with legal obligations and our legitimate interests in preventing fraud and unlawful trade.

Accounting, tax and record-keeping — lawful basis: compliance with legal obligations.

Establishing, exercising or defending legal claims — lawful basis: legitimate interests and, where applicable, legal obligations.

Optional commercial updates — lawful basis: your consent, which you may withdraw at any time.

Providing business contact and requirement information is necessary for us to respond to an inquiry and to take pre-contractual steps at your request; without it we cannot respond or quote.

Verification information may be required by law or by our banks, insurers or carriers before a transaction proceeds; without it we may be unable to enter into or perform a transaction.

Providing information for commercial updates is entirely optional.

We share personal information only where necessary with: professional advisers (legal, accounting, audit); banks and payment providers; insurers and insurance brokers; carriers, freight forwarders and customs agents; inspection and certification companies; and our IT, hosting and email service providers acting as processors.

We may disclose information to competent authorities where required by law.

We do not sell personal information and do not share it for third-party marketing.

Because we trade internationally, information may be accessed or transferred outside the United Kingdom, including to counterparties, carriers and service providers in the European Economic Area, the United States and Latin America.

Where information is transferred outside the UK to a country without UK adequacy regulations, we rely on the UK International Data Transfer Agreement or the EU Standard Contractual Clauses with the UK Addendum, together with a transfer risk assessment where appropriate. A copy of the relevant safeguard is available on request.

Inquiries that do not lead to a transaction: retained for up to 24 months from the last contact, then deleted.

Transaction, contract and verification records: retained for 6 years from the end of the relationship, in line with UK accounting, tax and limitation requirements; verification records are kept for at least 5 years where anti-money-laundering rules apply.

Commercial-update registrations: retained until you unsubscribe or withdraw consent, plus a short record of the withdrawal itself.

Server and security logs: retained for a short period by our hosting provider for security and operational purposes.

Subject to conditions in data protection law, you have the right to request access to your personal information, correction of inaccurate information, erasure, restriction of processing, and portability where processing is based on consent or contract and is carried out by automated means.

You have the right to object to processing based on our legitimate interests, and to object at any time to processing for direct marketing.

Where processing is based on consent, you may withdraw consent at any time without affecting processing carried out before withdrawal.

We do not use automated decision-making or profiling that produces legal or similarly significant effects.

We apply appropriate technical and organisational measures, including access controls, encrypted transport, restricted mailboxes and confidentiality obligations for staff and advisers.

The inquiry form on this website does not store data on the website: it opens a prefilled message in your own email client, which is sent only if you choose to send it. Please do not send passports, identity documents, bank statements or confidential financial records by unsecured email.

This website uses only cookies or local storage strictly necessary for the site to function, such as remembering your selected language. No advertising, profiling or third-party analytics technology is used.
